The part most services skip
Categorizing transactions and reconciling accounts is mechanical work. Plenty of people and plenty of software can do it, and increasingly the software does most of it on its own.
What software cannot do is notice that a deposit sitting in service income is actually loan proceeds, or that a payroll liability has been growing for four months, or that your gross margin moved six points and nobody mentioned it.
That noticing is the job. It is also the reason clean books matter in the first place, because you cannot spot the exception until the ordinary is in order.
What it costs
A fixed monthly fee, quoted after we have seen your actual books.
Price follows transaction volume, the number of accounts, and how many systems have to talk to each other. A one-person consultancy and a company running inventory across three sales channels are not the same job, and they should not carry the same fee.
If your books need cleanup before monthly work can start, that is quoted separately once we have seen the file.
Questions we get
How long does the monthly close take?
Your books close within the first two weeks of the following month, once we are past the first month or two of getting to know your business. If something is going to be late, you hear it from us before the deadline rather than after.
Do I have to switch accounting software?
Usually not. We work in QuickBooks Online and QuickBooks Desktop, and if you are already running one of them we will work in what you have. We only recommend moving when the current setup is actively causing the errors.
What do you need from me each month?
Bank and credit card access in read-only form, statements for anything we cannot connect directly, and answers on the handful of transactions only you can identify. That last part is usually a short list, and it gets shorter every month.
What if I am behind before we start?
Then we start with cleanup and catch-up, priced separately, and monthly work begins once the history is straight. Starting monthly bookkeeping on top of a messy prior year just moves the problem forward.
Do you handle payroll?
We coordinate payroll and make sure it lands correctly in the books, including the liability accounts that cause the most trouble later. We work alongside your payroll provider rather than replacing them.
